As the variations in required rent arrears policies across different agreement, tenure and account types may be only minimal, it is possible to clone existing policies - retaining all the associated conditions and escalation paths - and apply the relevant changes to the new copy, thus saving time and effort.
The procedure to clone a rent arrears policy is as follows:
- Navigate to Quick Menu > Rents > Configuration > Arrears Policy. The Arrears Policy window is displayed.
- Select a rent arrears policy from the alphabetical list or type its name into the Search Arrears Policy field. By default the list is filtered to show Current arrears policies. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- Click on Clone Arrears Policy. The Arrears Policy window is populated with all the attributes of the source arrears policy.
- Enter a Policy name for the new policy into the field provided

- Using the Account types, Tenure types, Sundry types, Contact group segment, Agreement types and Agreement categories drop-down fields, ensure that the selected parameter values are still valid for this policy and apply any required changes

- Amend the Effective from date for this rent arrears policy, as required i.e. the date on which it came into effect

- Amend the Effective to date for this rent arrears policy, as required i.e. to specify the valid duration; a blank field means the policy will never expire.
- Click on Save. The Created by and Created date fields are automatically populated with the name of the end user creating the cloned policy and current system date respectively. The cloned rent arrears policy appears in the alphabetical list.
Note
1 The Search Arrears Policy field will match against any element of the policy name.
2 System validation rules ensure that the description entered for each rent arrears policy is unique for the effective period.
3 The rent accounts to which this arrears policy applies will be governed by these combined selections.
4 The Effective from date defaults to the current system date and cannot be left blank.
