To add a new rent arrears policy

The procedure to add a new rent arrears policy is as follows:

  1. Navigate to Quick Menu > Rents > Configuration > Arrears Policy. The Arrears Policy window is displayed.
  2. Click on New Arrears Policy. All fields are activated ready for data entry.
  3. Enter a Policy name into the field provided 1.
  4. Using the Company drop-down field, select the company for which this rent arrears policy is relevant.
  5. Using the Account types drop-down field, multi-select all parameter values to be included in this rent arrears policy, or choose the All option, as required (e.g. Rental, Residential, Non Residential, Licence, Sundry, etc.) 1 2.
  6. Using the Tenure types drop-down field, multi-select all parameter values to be included in this rent arrears policy, or choose the All option, as required (e.g. Assured, Secure, Fixed Term, etc.) 1 2.
  7. Using the Sundry types drop-down field, multi-select all parameter values to be included in this rent arrears policy, or choose the All option, as required (e.g. Court Order, Grass Cutting, Meals On Wheels, etc.) 1 2.
  8. Using the Contact group segment drop-down field, multi-select all parameter values to be included in this rent arrears policy, or choose the All option, as required (e.g. Learning Difficulty, Vulnerable, etc.) 1 2.
  9. Using the Agreement types drop-down field, multi-select all parameter values to be included in this rent arrears policy, or choose the All option, as required (e.g. Tenancy, Starter Tenancy, Sundry Agreement, etc.) 1 2.
  10. Using the Agreement categories drop-down field, multi-select all parameter values to be included in this rent arrears policy, or choose the All option, as required (e.g. Residential, Non Residential, Residential Rented, Residential Non Rented, etc.) 1 2.
  11. Where the arrears policy applies to Current rent accounts, activate the tick box provided i.e. where the Effective to date is in the future.
  12. Where the arrears policy applies to Former rent accounts, activate the tick box provided i.e. where the Effective to date has elapsed.
  13. Choose an Effective from date for this rent arrears policy i.e. the date on which it came into effect 3.
  14. Choose an Effective to date if the rent arrears policy is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the policy will never expire.
  15. Click on Save. The Created by and Created date fields are automatically populated with the name of the user account creating the new policy and current system date respectively. The new rent arrears policy appears in the alphabetical list 4.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as required; the All tick box will be automatically removed once an item is de-selected.

Note

1 System validation rules ensure that the description entered for each rent arrears policy is unique for the effective period.

2 The rent accounts to which this arrears policy applies will be governed by these combined selections.

3 The Effective from date defaults to the current system date and cannot be left blank.

4 To amend the details of an existing rent arrears policy, select a policy from the alphabetical list (or type its name into the Search Arrears Policy field) and repeat steps 5 through 15. By default the list is filtered to show Current arrears policies. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations.
