Functional unit quick start guide

The operating structure of Civica Cx Housing is defined in two distinct ways: (1) By company, and (2) By functional unit. Through the creation of company-specific functional units, an end user's work activity can be carefully managed, with visibility and access to data records tightly controlled, right down to entity level (discrete data elements). The individual user experience is therefore determined by the functional units to which they have been assigned - acting as a dynamic data veil - and contribute to efficient working practices. Prior to implementation, taking time to carefully plan the required functional units across each individual company will reap its own rewards, although it is recognised that for some housing organisations only the minimum set necessary to satisfy the system design rules will be required. By following this quick start guide, all end users will be granted full entity access through the creation of a notional set of functional units.

Step 1: Create a default functional unit

• Navigate to Quick Menu > System > Configuration > Functional Unit Definition and create a new 'base' functional unit for each separate company.
• DO NOT add entity criteria to these functional units at this stage.

Step 2: Define the functional unit configuration settings

• Navigate to Quick Menu > System > Configuration > Functional Unit Configuration and define the entity stamping profile for each separate company.
• REMEMBER to choose the 'base' functional units created in step 1 (above) as the default for each corresponding company.

Step 3: Functional unit allocation

• Navigate to Quick Menu > Security > Access Rights > User Details and assign the default functional units to each system user, as appropriate.

Step 4: Functional unit stamping

• Navigate to Quick Menu > System > Scheduling > System Schedules and create a new scheduled event for each separate company.
• Add the Entity Stamping task to each newly-created schedule, located within the System module.
• RUN each scheduled task immediately.

Outcome

• The time taken to complete the scheduled entity stamping routine will be greatly reduced.
• All relevant system entities will be 'stamped' with the default functional units.
• Customised functional units can now be created at the end user's discretion, specifying inherent entity criteria to restrict data access.
