To create a new scheduling timetable

The procedure to create a new scheduling timetable is as follows:

  1. Navigate to Quick Menu > System > Scheduling > System Schedules. The Schedule Details window is displayed.
  2. Click on New Schedule. All fields are activated ready for data entry.
  3. Enter a Description for the new scheduling timetable into the field provided 1.
  4. Using the Company drop-down field, select a company for which this scheduling timetable is relevant.
  5. Choose an Effective From Date for this scheduling timetable i.e. the date on which the timetable came into effect 2.
  6. Choose an Effective To Date if the scheduling timetable expires on a specific date or to capture a change of circumstances; a blank field means the timetable will be ongoing.
  7. Using the Failure Notification to drop-down field, select a user account that will receive notification of any scheduled event failures.
  8. To control a single event, enter the date on which the scheduled timetable task will be run using the Run on field provided, along with the Starting at time 3. Proceed to step 11.
  9. Alternatively, to define a Scheduled task, activate the tick box provided and enter the required recurrence pattern. The available options are summarised in the table below.
  10. Enter the range of recurrence values to define the commencement, duration and frequency of the scheduling timetable task; a combination of start time, days of the week or specific days within a month can all be set to match the desired requirements 3.
  11. Click on Save 4. The Updated By and Updated Date fields are automatically populated with the name of the end user creating the new record and current system date respectively.


Note

1 System validation rules ensure that the description entered for each scheduling timetable is unique for the effective period.

2 The Effective from date defaults to the current system date and cannot be left blank.

3 Enter dates using the calendar () icon, or type in the values directly (format DD/MM/YY or DD/MM/YYYY); enter times using the clock () icon, or type in the values directly (format HH:MM).

4 To amend the details of an existing scheduling timetable, select a schedule from the alphabetical list or enter its name into the Search System Schedules field. By default the list is filtered to show Current schedules. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.
