As the variations in required functional unit definitions may be only minimal, it is possible to clone existing definitions, retaining all the attributes and configuration settings for assigned classifications, entity criteria, etc. and apply the required changes to the new copy, thus saving time and effort.
The procedure to clone a functional unit definition is as follows:
- Navigate to Quick Menu > System > Configuration > Functional Unit Definition. The Functional Unit Definition window is displayed.
- Select a functional unit from the alphabetical list or type its name into the Search Functional Units field; where the functional unit is a member of a group, expand the group heading as a prerequisite step. By default the list is filtered to show Current functional units. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations
1.
- Click on Clone Functional Unit
2. The Functional Unit Definition window is populated with all the attributes of the source functional unit.
- Enter a Functional unit name for the new record into the field provided
3.
- Using the Classifications drop-down field, ensure that the selected labels reflect the extended reporting and analysis requirements for the cloned functional unit and apply any required changes.
- Amend the Description, as required, to reflect the purpose of the cloned functional unit.
- Where the cloned functional unit will be employed in service charge calculations, ensure that the Service charge applicable tick box is activated.
- Amend the Effective from date for this cloned functional unit, as required i.e. the date on which it came into effect
4.
- Amend the Effective to date if the functional unit is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the functional unit will be continually valid.
- Click on Save
5.
Note
1 The Search Functional Units field will match against any element of the functional unit name.
2 A cloned functional unit will retain the Type and Company attributes of the source record.
3 System validation rules ensure that the name entered for each functional unit definition is unique for the effective period.
4 The Effective from date defaults to the current system date and cannot be left blank.
5 To amend the details of an existing definition, select a functional unit from the alphabetical list or type its name into the Search Functional Units field. By default the list is filtered to show Current functional units. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of values can be updated once a record has been created.
