To add entity criteria to a functional unit definition

The procedure to add entity criteria to a functional unit definition is as follows:

  1. Navigate to Quick Menu > System > Configuration > Functional Unit Definition. The Functional Unit Definition window is displayed.
  2. Select a functional unit from the alphabetical list or type its name into the Search Functional Units field; where the functional unit is a member of a group, expand the group heading as a prerequisite step. By default the list is filtered to show Current functional units. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Add Criteria 2. The Add Criteria Step 1 window is displayed.
  4. Select the primary focus for the functional unit access level using the Entity criteria is for drop-down field e.g. Asset, Contact, Contact Group, Rent Account, Rent Agreement, etc. 3.
  5. Using the Apply to related entities drop-down field, multi-select all component entities applicable to the functional unit access level, or choose the All option, as required 1.
  6. Use the Description field to add contextual notes that will explain the derivation and purpose of the entity criteria.
  7. Choose an Effective from date for this entity criteria i.e. the date on which it came into effect 4.
  8. Choose an Effective to date if the entity criteria is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the criteria will be continually valid.
  9. Click on Next. The Add Criteria Step 2 window is displayed, ready to define one or more conditions to control the subset of records for inclusion within the functional unit access level. This requisite step is covered separately in the topic Understanding the advanced statement builder.
  10. Click on Save. The specified criteria is displayed in the Functional Units Criteria summary table, including the compiled statement algorithm (Criteria column).


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is de-selected.

Note

1 The Search Functional Units field will match against any element of the functional unit name.

2 This option is available for Base and Asset functional unit types only.

3 Where the functional unit has been configured as an Asset type, only the Asset Hierarchy Detail option is available for selection.

4 The Effective from date defaults to the current system date and cannot be left blank.
