To add a functional unit to a user account

The procedure to add a functional unit to a user account is as follows:

  1. Navigate to Quick Menu > Security > Access Rights > User Details. The User Details window is displayed.
  2. Select a user account from the alphabetical list or type their name into the Search Users field. By default the list is filtered to show Current users. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Functional Units. The Functional Units tab is activated.
  4. Click on Add. The Add/Edit User Functional Unit window is displayed.
  5. Enter a Functional unit name into the dynamic search field provided 2. All possible matches are returned in the Functional Unit Search Results summary table.
  6. Double-click on the row matching the desired functional unit to be added to the user account. The selected record appears in the Functional unit name field; its Description and assigned Classifications are also revealed in the corresponding fields.
  7. Using the Allocation drop-down field, select the user account's work activity focus reflected by this functional unit i.e. Primary, Secondary or Other.
  8. Using the Permission drop-down field, select the desired access level attribute for this functional unit i.e. Full or Read Only.
  9. Where the user account has overall responsibility for the functional unit, activate the Responsible tick box provided.
  10. Choose an Effective from date for this assigned functional unit i.e. the date at which it becomes active 3.
  11. Choose an Effective to date to automatically deactivate the functional unit allocation on a specific date in the future; a blank field means it will remain with the user account in perpetuity.
  12. Click on Save. The assigned record is displayed in the User Functional Units summary table 4.


Note

1 The Search Users field will match against the Full name of the user account and not their User name.

2 The field will operate as a dynamic search function and match against any element of the functional unit name based on the successive characters entered.

3 The Effective from date defaults to the current system date and cannot be left blank.

4 Where overlapping functional units are assigned to a user account, the highest level of access privileges will take precedence.
