To define a general lookup parameter value

The procedure to define a general lookup parameter value is as follows:

  1. Navigate to Quick Menu > System > Configuration > General Lookups. The Lookup Details window is displayed.
  2. Select a general lookup parameter from the alphabetical list or type its name into the Search Lookup field. A list of associated parameter values is displayed in the General Lookups summary table 1.
  3. Double-click on a specific row or click on Add New. The Lookup Details window is displayed.
  4. Enter a Description for the lookup value into the field provided 2.
  5. Using the Display order field, enter a numeric value to specify the position of the lookup value within the drop-down field 3.
  6. Use the Other reference field to specify the logical or preferred name for the lookup value i.e. the name by which the lookup value is more commonly known.
  7. Use the Additional analysis field to further characterise the nature of the lookup value.
  8. Using the Companies drop-down field, multi-select all companies for which this lookup value is relevant.
  9. Choose an Effective from date for this lookup value i.e. the date on which it came into effect 4.
  10. Choose an Effective to date if the lookup value needs to be reviewed on a specific date or to capture a change of circumstances; a blank field means the lookup value will never expire.
  11. Click on Save 5.


Note

1 The Search Lookup field will match against any element of the general lookup name.

2 The Description field is only active when the Add New option is selected.

3 Where no Display order value is recorded, an alphabetical sort will be assumed.

4 The Effective from date defaults to the current system date and cannot be left blank.

5 Whilst not all fields are mandatory, taking time to record comprehensive data in respect of each parameter will reap its on rewards; fields such as Other reference and Additional analysis may be appended at a later stage, even if the Effective from date is in the future.
