In preparation for the planning and implementation of all housing improvement programmes, individual fixtures and fittings that are likely to require an upgrade or renewal can be created as Replacement items within the overall stock condition hierarchical structure.
The procedure to create a new stock condition replacement item is as follows:
- Navigate to Quick Menu > Asset Management > Configuration > Configure Components. The Stock Condition Configuration window is displayed.
- Expand the relevant element heading and select a component record from the hierarchical list, or type its name into the Search for Stock Conditions field. By default the list is filtered to show Current stock condition focus areas. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All

- Click on New Replacement. The Element and Component fields are automatically populated with the respective records in current focus, and all adjacent fields are activated ready for data entry

- Enter a Description for the stock condition replacement item into the field provided e.g. Floor Covering, Bathroom Suite, etc.

- Using the Companies drop-down field, multi-select all companies relevant to the operating boundaries of this stock condition replacement item, or choose the All option, as required

- Select the specific Unit of measurement syntax for this replacement item e.g. Linear Metre, Square Metre, Single, etc.

- Using the Replacement type drop-down field, select the desired parameter classification relevant to the stock condition replacement item e.g. Renewal, Upgrade, Substitution, Provisional, etc.

- Using the HIP Category drop-down field, classify the new replacement item in terms of the corresponding Housing Improvement Programme focus area.
- Enter the Cost of the replacement item into the field provided. The Up and Down arrows are available to increment or decrement the value, as required.
- Use the Lifecycle field to specify how long (in years) the item is likely to last before being replaced again.
- Using the Asset groups drop-down field, multi-select all prescribed property classifications applicable to the operating boundaries of the stock condition replacement item, or choose the All option, as required i.e. Independent, Internal, External, Non Dwelling

- Choose an Effective from date for this new stock condition replacement item i.e. the date on which the item came into effect

- Choose an Effective to date if the stock condition replacement item is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the item will be continually valid.
- Where the new stock condition replacement item is to be included in, say, forecasting and Housing Quality Standard assessments, activate the Primary replacement tick box provided.
- Enter the Min Qty and Max Qty values to define the permitted threshold quantities appropriate to this replacement item.
- Where the cost of the replacement item is to be met by a third party, activate the Rechargeable tick box provided.
- Click on Save. The new stock condition replacement item appears underneath the relevant element and component hierarchy.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 The Search for Stock Conditions field will match against any focus area included within the hierarchical component structure.
2 The pre-populated values can be adjusted, as required, in order to generate a replacement item for a completely different stock condition focus area.
3 System validation rules ensure that the description entered for each new stock condition replacement item is unique for the selected component within the effective period.
4 These custom values can be populated by the end user via the system parameter entitled Unit of Measure.
5 These custom values can be populated by the end user via the system parameter entitled Replacement Type.
6 Only those asset groups nominated for the overarching stock condition component will be available for selection.
7 The Effective from date defaults to the current system date and cannot be left blank.
