To facilitate the transfer of meaningful stock condition survey data onto individual asset records, a prescribed hierarchical elemental structure exists, where Element is defined as a major physical part of a building that fulfils a specific function or functions, irrespective of its design, specification or construction.
The procedure to create a new stock condition element is as follows:
- Navigate to Quick Menu > Asset Management > Configuration > Configure Components. The Stock Condition Configuration window is displayed.
- Click on New Element. All fields are activated ready for data entry.
- Enter a Description for the stock condition element into the field provided e.g. Roof, Central Heating, etc.

- Enter the corresponding BCIS code for the stock condition element into the field provided i.e. the unique element identifier as defined by the Building Cost Information Service.
- Choose an Effective from date for this new stock condition element i.e. the date on which the element came into effect

- Choose an Effective to date if the stock condition element is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the element will be continually valid.
- Using the Companies drop-down field, multi-select all companies relevant to the operating boundaries of this stock condition element, or choose the All option, as required

- Click on Save. The new stock condition element is displayed in the alphabetical list.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 System validation rules ensure that the description entered for each new stock condition element is unique for the effective period.
2 The Effective from date defaults to the current system date and cannot be left blank.
