To convert a communication into a PDF file

Civica Cx Housing enables the end user to generate any letter communication as a PDF file, as well as being despatched to a physical print queue. The system queue Download to PDF behaves as a queue in its own right and can be linked to any letter template as the default queue 1. When communications linked to that template are despatched, the end user is able to view the downloaded PDF from where they are presented with the option to save it to any location with a file name of their choice. Similarly, communications destined for a print queue can be reassigned to the Download to PDF queue very easily.


The procedure to convert a communication into a PDF file is as follows:

  1. Navigate to Quick Menu > Communication Engine > Communication > Communication Queues. The Communication Generation window is displayed.
  2. Expand a queue generation heading from the alphabetical list and select the Download to PDF communication queue, or type its name into the Search Queues field. By default the list is filtered to show Current communication queues. An alternative filter can be applied using the Filter by drop-down field: Expired, Future or All combinations 2.
  3. Click on Manage Queues. The Manage Queues tab is activated, revealing a list of communication jobs and their current status in the summary table.
  4. Select one or more desired communication jobs using the tick boxes provided 1.  
  5. Click on Send 3. On saving the PDF output the Status of each selected communication job is updated to Downloaded to PDF.


Tip

1 To aid the selection process, rows can be reordered by clicking on any of the available headings: Communication, Created By, Date Time Created, Status, Reason, No of Failures, No of Resend.

Note

1 The option to download a letter communication to PDF is controlled by the system preference Allow print queue for Download to PDF.

2 The Search Queues field will match against any element of the communication queue name.

3 The Send function operates on communication jobs of any status i.e. it is used to reprint and resend historical jobs as well as to despatch new jobs pending.
