It is important for contacts to know that a contractor visiting their place of residence is genuine. Whilst most contractors now carry identity cards, these will be ineffective for those who are visually impaired. Agreeing security passwords with the contact for the range of possible interactions provides added security and reassurance. Passwords distributed to contacts for the purpose of granting them access to, say, housing organisation web portals can also be recorded.
The procedure to assign contact security passwords is as follows:
- Using the global search facility, type in the first few characters of the contact

- Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon (
).
- Click on Contact Details. The Contact Details window is displayed for the current contact.
- Click on Security. The Security tab is activated.
- Click on New Password. The New Password window is displayed.
- Using the Security type drop-down field, select the appropriate interaction parameter for the contact (e.g. Caller access password, Web portal access, etc.).
- Type in the agreed password into the New password field

- Use the Comments field to add any contextual data that is relevant to this password record.
- Choose an Effective from date for this password record i.e. the date on which the password comes into effect

- Choose an Effective to date to capture when the password expires.
- Click on Save.
Note
1 The search facility will automatically return all possible matches for both first name and last name once the Number of characters before an automatic search commences system preference is reached..
2 A valid password should contain a combination of upper and lower case letters, numbers and symbols.
3 The Effective from date defaults to the current system date and cannot be left blank.
