For certain interactions with groups it may be necessary or prudent to assign a password. For example, a password may be issued to a group in order to support routine visits from contractors, specifically to authenticate their credentials.
The procedure to assign contact group security passwords is as follows:
- Using the Advanced search spy-glass (
), select Contact group as the Result Set and Criteria Set category and enter the Group name as the search criteria

- Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria. The Contact Group Summary window is displayed.
- Click on Contact Group Details. The Contact Group Details window is displayed for the current group.
- Click on Security. The Security tab is activated.
- Click on New Password. The Password Details window is displayed.
- Using the Security type drop-down field, select the appropriate interaction parameter for the contact (e.g. Caller access password, Web portal access, etc.).
- Type in the agreed password into the New password field

- Use the Comments field to add any contextual data that is relevant to this password record.
- Choose an Effective from date for this password record i.e. the date on which the password comes into effect

- Choose an Effective to date to capture when the password expires.
- Click on Save.
Note
1 Additional search criteria may need to be employed (e.g. address or post code) to ensure that the correct contact group is returned.
2 A valid password must contain a combination of upper and lower case letters, numbers and symbols.
3 The Effective from date defaults to the current system date and cannot be left blank.
