To update contact communication details

The procedure to update contact communication details is as follows:

  1. Using the global search facility, type in the first few characters of the contact 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Contact Details. The Contact Details window is displayed for the current contact.
  4. Click on Preferences. The Preferences tab is activated.
  5. Click on New Details. The New Communication Details window is displayed.
  6. Use the drop-down fields to select the Communication category (e.g. Email, Telephone, Mobile, Twitter Account, etc.) and the Communication type (e.g. Home telephone, Work telephone, Home email, Twitter, etc.).
  7. Use the Overall primary communication tick box provided to identify this specific communication record as the principal method of communication for the contact.
  8. Enter the Reference that matches the Communication type (e.g. a telephone number, an email address, a Twitter handle, etc.).
  9. Use the Category primary communication tick box provided to identify this specific communication record as the primary method of communication within that category 2.
  10. Use the Comments field to add any contextual information that is relevant to this method of communication.
  11. Choose an Effective from date for this communication record i.e. the date on which the record came into effect 3.
  12. Choose an Effective to date to capture when the communication record expires.
  13. Click on Confirm. The new method of communication is displayed in the Communication Details summary table.


Note

1 The search facility will automatically return all possible matches for both first name and last name once the Number of characters before an automatic search commences system preference is reached.

2 Only one primary communication is permitted for each recorded category; where an existing record already has this status the user will need to reaffirm one or the other.

3 The Effective from date defaults to the current system date and cannot be left blank.
