To fix an asset cost element within a service charge group

The procedure to fix an asset cost element within a service charge group is as follows:

  1. Navigate to Quick Menu > Service Charges > Configuration > Groups. The Service Charge Group window is displayed.
  2. Expand a functional unit heading from the alphabetical list and select an associated service charge group, or type its name into the Search Groups field. By default the list is filtered to show Current groups. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Assets. The Assets tab is activated, revealing all assets linked to the service charge group in the summary table.
  4. Activate the Selected tick box against an asset where one or more cost elements are to be fixed 2.
  5. Click on Asset Fixed Charges. The Asset Fixed Charges window is displayed, revealing any fixed charge elements previously defined for the asset record in the summary table.
  6. Using the Cost centre drop-down field, select the cost centre to which the desired cost element is linked.
  7. Using the Cost element drop-down field, select the desired elemental component from the filtered list to be assigned a fixed charge 3.
  8. Enter the Period fixed charge into the field provided 4. The Up and Down arrows are available to increment or decrement the value, as required.
  9. Choose an Effective from date for this fixed cost element i.e. the date on which it came into effect 5.
  10. Choose an Effective to date to define the duration over which the fixed charge applies; a blank field means the fixed status will be continually valid.
  11. Click on Add. The new fixed cost element is displayed in the Fixed Charges summary table.
  12. Repeat steps 6 through 11 to add further fixed charges to the asset record.
  13. Click on Save. The Fixed Elements tick box is activated for the asset record, as displayed in the Assets summary table.


Note

1 The Search Groups field will match against any element of the service charge group description.

2 Cost elements must be fixed on an individual asset basis.

3 Only cost elements linked to the chosen cost centre will be available for selection.

4 The recorded value should represent the cumulative charge levied over the entire financial period to which it applies.

5 The Effective from date defaults to the current system date and cannot be left blank.
