To add an asset to a service charge group

The procedure to add an asset to a service charge group is as follows:

  1. Navigate to Quick Menu > Service Charges > Configuration > Groups. The Service Charge Group window is displayed.
  2. Expand a functional unit heading from the alphabetical list and select an associated service charge group, or type its name into the Search Groups field. By default the list is filtered to show Current groups. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Assets. The Assets tab is activated.
  4. Click on Select Assets 2. The Select Group Assets window is displayed, revealing the expanded hierarchical structure of all assets within the same functional unit as that of the service charge group.
  5. Activate the tick box against one or more assets to be linked to the service charge group 3 1.
  6. Where a fixed percentage of the group charges should be applied to all assets in the selected subset, as opposed to an equal share, activate the Fixed apportionment tick box provided and enter the Percentage apportionment value in the corresponding field. The Up and Down arrows are available to increment or decrement the value, as required.
  7. Use the Comments field to add any contextual information that is relevant to the asset subset being linked to this service charge group.
  8. Choose an Effective from date for this asset subset i.e. the date on which their inclusion within the service charge group came into effect 4.
  9. Choose an Effective to date to automatically deactivate the membership for all assets in the subset on a specific date in the future; a blank field means their membership will never expire.
  10. Click on Save. All selected assets, along with their group membership characteristics, are displayed in the summary table.
  11. Repeat steps 4 through 10 to add further assets to the service charge group.


Tip

1 Where only a small number of assets are not required, activate the root asset tick box first and then de-select individual assets from the full list, as appropriate; the root asset tick box will be automatically removed once an item is de-selected.

Note

1 The Search Groups field will match against any element of the service charge group description.

2 Once all assets within the functional unit have been added to the service charge group the option becomes inactive.

3 It is important to only combine assets together as a subset where the group membership characteristics are identical.

4 The Effective from date defaults to the current system date and cannot be left blank.
