To modify an asset fixed cost element within a service charge group

The procedure to modify an asset fixed cost element within a service charge group is as follows:

1. Navigate to Quick Menu > Service Charges > Configuration > Groups. The Service Charge Group window is displayed.
2. Expand a functional unit heading from the alphabetical list and select an associated service charge group, or type its name into the Search Groups field. By default the list is filtered to show Current groups. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
3. Click on Assets. The Assets tab is activated, revealing all assets linked to the service charge group in the summary table.
4. Activate the Selected tick box against an asset where one or more fixed cost elements are to be modified 2.
5. Click on Asset Fixed Charges. The Asset Fixed Charges window is displayed, revealing all fixed charge elements previously defined for the asset record in the summary table.
6. Highlight the row matching the fixed cost element to be modified.
7. Using the Cost element drop-down field, ensure that the selected elemental component is still valid for the fixed charge and apply any required change 3.
8. Adjust the Period fixed cost value, as required, to ensure that it represents the cumulative charge levied over the entire financial period to which it applies. The Up and Down arrows are available to increment or decrement the value, as required.
9. Amend the Effective from date for this fixed cost element, as required i.e. the date on which it came into effect 4.
10. Amend the Effective to date, as required, to define the duration over which the fixed charge applies; a blank field means the fixed status will be continually valid.
11. Click on Update. The proposed fixed cost element changes are displayed in the Fixed Charges summary table.
12. Repeat steps 6 through 11 to apply further changes to the fixed cost elements relevant to the asset record.
13. Click on Save.

Note

1 The Search Groups field will match against any element of the service charge group description.

2 Fixed cost elements must be modified on an individual asset basis and their existence is denoted by the Fixed Elements attribute, as displayed in the Assets summary table.

3 Only cost elements linked to the active cost centre will be available for selection.

4 The Effective from date defaults to the current system date and cannot be left blank.
