The procedure to create a new task path definition is as follows:
- Navigate to Quick Menu > System > Cases and Tasks > Task Path Creator. The Task Path Creator window is displayed.
- Click on New Task Path. All fields are activated ready for data entry
1.
- Enter a Description for the task path definition into the field provided
2.
- Using the Classification drop-down field, select the specific module to which the task path definition relates i.e. ASB, CRM, Feedback, Generic Case, Home Buy or Housing Options.
- Using the Entity type drop-down field, select the specific data record or focus area relevant to the task path definition e.g. ASB Case, Asset, Contact, Rent Agreement, etc.
- For Asset Void and Resource Episode entity types (available options for a Generic Case classification only), activate the Void path tick box provided, as appropriate, to indicate that the new workflow structure will be utilised in managing void action plans
3.
- Using the Companies drop-down field, multi-select all companies applicable to this task path definition, or choose the All option, as required
1.
- Choose an Effective from date for this task path definition i.e. the date on which it came into effect
4.
- Choose an Effective to date if the task path definition is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the task path definition will be continually valid.
- Click on Save. The new task path definition appears in the alphabetical list, underneath the associated module heading
5.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 Upon first access, all fields are automatically activated ready for data entry; hence the New Task Path button is inactive.
2 System validation rules ensure that the description entered for each task path definition is unique for the selected classification, within the same effective period.
3 The system preference Use enhanced voids invokes the 'enhanced cases and tasks' framework for the management of asset voids and resource episodes.
4 The Effective from date defaults to the current system date and cannot be left blank.
5 To amend the details of an existing task path definition, expand a module heading and select an associated entry from the alphabetical list, or type its name into the Search Task Paths field. By default the list is filtered to show Current task path definitions. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.
