Financial batch management overview

A financial batch is a subset of related transactions awaiting submission to a third party accounting system. As the transactions have already been generated in Civica Cx Housing, there is no need to duplicate effort by re-keying the same values separately into the housing organisation's accounting software. Instead the transactions can be imported, either individually or in a consolidated form, where a single value represents many transactions, all linked to the same ledger code. A financial batch can be thought of as a holding area, allowing end users to manage and control the transactions being transferred between systems. The following table summarises the options available to the end user when processing transactions held in batch:

Description

Submit Batch

Marks all transactions contained within the batch, ready for interfacing with a third party accounting system. The 'marking' process eliminates the possibility of the same transactions being uploaded again in error. Once submitted, the status of the batch is updated to Posted.

Cancel Batch

This option is employed in the instance where the transactions held in batch are not to be submitted to the accounting system. Once applied, the batch status is updated to Cancelled.

Reverse Batch

To uphold audit integrity, transactions that have been entered in error are negated (reversed), with both the original transactions and the equal and opposite entries posted live to the accounts. That way, the audit trail captures the debit and credit entries on the same ledger account codes, with the net effect on the accounts equating to a zero value.

Override Posting

This option is applied to individual transactions within an overall batch and is used to adjust the account code, value or additional analysis field prior to submission. A second and subsequent override posting is permitted to the same transaction, as required.
