To view rent agreement episodes for an asset

A rent agreement for an asset is a contract between the tenant and the housing organisation, setting out rights to both parties in respect of occupying the asset and the charging of rent. Typically, a written agreement will include the following information:


Once an agreement comes into effect, a rent agreement episode is linked to the asset record. During periods of vacancy, a rent void episode is automatically created.


The procedure to view rent agreement episodes for an asset is as follows:

  1. Using the global search facility, type in the first few characters of the asset address  1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Asset Details. The Asset Details window is displayed for the current asset.
  4. Click on History. The History tab is activated, revealing a list of all the agreement and void episodes recorded against the asset in the Rent summary table. Certain fields are worthy of special note and are captured in the table below 2.


Note

1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.

2 A subset of fields are visible by default; additional fields can be revealed or hidden via the Menu option.


Field

Description

Status

The current status of the rent agreement episode, typically Void or Under Agreement.

Agreement Reference

The unique reference for the asset agreement episode.

Type

The categorisation of the agreement e.g. Tenancy, Starter Tenancy.

Tenure

The arrangement under which the tenant occupies the asset within the terms of the agreement e.g.  Assured, Secure, Fixed Term, Licence.

Start

The date on which the rent agreement or void episode commences.

End

The date on which the rent agreement or void episode expires, if relevant.

Responsible

The individual members of the linked contact group identified as responsible for the rent agreement episode.

Termination

A description to provide contextual qualification in circumstances where the agreement episode was terminated in advance of the end date.

Balance

The current amount of outstanding rent payable on the asset.
