The procedure to generate an asset void export file compatible with Abritas is as follows:
- Navigate to Quick Menu > System > Scheduling > System Schedules. The Schedule Details window is displayed.
- Click on New Schedule. All fields are activated ready for data entry.
- Enter a Description for the new asset void export schedule into the field provided

- Using the Company drop-down field, select a company for which this asset void export schedule is relevant.
- Choose an Effective from date for this asset void export schedule i.e. the date on which the schedule came into effect

- Choose an Effective to date if the asset void export schedule expires on a specific date or to capture a change of circumstances; a blank field means the schedule will be continually valid.
- Using the Failure Notification to drop-down field, select a user account that will receive notification of any scheduled event failures.
- Activate the Scheduled tick box provided and enter the required recurrence pattern; all available options are summarised in the table below.
- Enter the range of recurrence values to define the commencement, duration and frequency of the asset void export task; a combination of start time, days of the week or specific days within a month can all be set to match the desired requirements

- Click on Save. The Updated By and Updated Date fields are automatically populated with the name of the end user creating the new schedule and current system date respectively.
- Click on Tasks. The Tasks tab is activated.
- Click on New Task. The Schedule Task window is displayed.
- Using the Module drop-down field, select the specific parameter value of System.
- Using the Task drop-down field, select the specific parameter value of Send Assets to CBL.
- Enter a Description for the new asset void export task into the field provided.
- Using the Order field, enter a numeric value to control the sequence in which tasks are processed. The Up and Down arrows are available to increment or decrement the value, as required.
- Where subsequent tasks are Dependent upon the successful outcome, activate the tick box provided.
- Using the Company drop-down field, multi-select all companies for which this asset void export task is relevant, or choose the All option, as required

- Enter the defined period over which all identified 'CBL' assets will be included in the export file, either the Number of Days prior to the current system date, or the Start Date and End Date range, as appropriate

- Enter the destination folder path for the exported records into the Output Location field provided

- Click on Confirm. The new asset void export task is displayed in the Tasks summary table.
- Click on Save
6. The CSV export file will be automatically generated in line with the scheduled frequency.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 System validation rules ensure that the description entered for each scheduled event is unique for the effective period.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 Enter dates using the calendar (
) icon, or type in the values directly (format DD/MM/YY or DD/MM/YYYY); enter times using the clock (
) icon, or type in the values directly (format HH:MM).
4 The system action Send Asset to CBL determines the inclusion of individual records within the export file and must be contained within an overarching asset void action plan.
5 In a load balanced network solution, the selected folder must be accessible by all application servers.
6 To amend the details of an existing schedule, select an event from the alphabetical list or enter its name into the Search System Schedules field. By default the list is filtered to show Current schedules. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.
