To define the status of an asset void episode

The procedure to define the status of an asset void episode is as follows:

  1. Using the global search facility, type in the first few characters of the asset address 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on History. The History tab is activated, revealing a list of all chronological agreement and void episodes associated with the asset in the Rent summary table.
  4. Double-click on the row matching a void episode against which letting attributes are to be defined. The Asset Void Episode window is displayed, revealing the Proposed Start Date and Proposed End Date of the void episode together with the actual Start Date and actual End Date, where known. The current balance of all combined charges incurred as a result of the void episode is displayed in the Void Loss field.
  5. Using the Re-let Charge drop-down field, select the concatenated charging reference (charge type, charging frequency, value and effective period) that represents the total actual cost of all charge elements applicable to the asset i.e. the figure made visible to a potential bidder through a choice based lettings system.
  6. To make the property Available For Shortlisting, activate the tick box provided. i.e. the property is potentially suitable for tenants, with only minimal repairs being necessary before a letting can be secured.
  7. To make the property Available For Letting, activate the tick box provided i.e. the property is ready for the next occupation.
  8. Click on Save.

1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.
