To create a new charge for an asset void episode

The procedure to create a new charge for an asset void episode is as follows:

  1. Using the global search facility, type in the first few characters of the asset address 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on History. The History tab is activated, revealing a list of all chronological agreement and void episodes associated with the asset in the Rent summary table.
  4. Double-click on a void episode onto which charges will be added. The Asset Void Episode window is displayed, revealing the attributes of the void episode.
  5. Click on Void Charges. The Void Charges tab is activated.
  6. Click on New Void Charge 2. The Charges window is displayed.
  7. Using the Charge Matrix drop-down field, select a concatenated charging reference for the asset void episode, as appropriate, comprising the defined Charge Type (e.g. Standard Rent, Assured Rent, etc.), Frequency (e.g. daily, weekly, monthly, etc.), Calendar and Current Charge values.
  8. Choose an Effective from date for this void episode charge i.e. the date on which it came into effect 3.
  9. Choose an Effective to date if the void episode charge is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the charge will be continually valid.
  10. Click on Confirm 4. The new record is displayed in the Void Charges summary table.
  11. Click on Save 5.


Note

1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.

2 This option is only available for asset void episodes where the actual Start Date is populated.

3 The Effective from date defaults to the current system date and cannot be left blank.

4 The Updated By and Updated Date fields are automatically populated with the name of the end user creating the void episode charge and current system date respectively.

5 To amend the details of an existing void episode charge, double-click on the desired row in the Void Charges summary table and repeat steps 8 through 11; only a limited number of fields can be updated once a record has been created. The Last Charge Date (the most recent date on which the charge was applied) and the Next Charge Date (the next scheduled date for the charge to be applied) are derived automatically from the linked calendar.
