To define a resource field parameter value

The attributes of non-organisational asset and service resources are entirely user-defined. These attributes are built as parameters and linked to the desired resource subtype. When an individual resource is created, these user-defined parameters are automatically transferred to the new record, based on the relevant subtype. By way of example, for nominations, parameter fields may be created to record the property type, the number of double bedrooms, the number of single bedrooms, etc. Similarly, for a training service, parameter fields may be created to, say, record the name of the trainer, the venue, the maximum number of permitted delegates and the course title.


The procedure to define a resource field parameter value is as follows:

  1. Navigate to Quick Menu > Allocations > Configuration > Resource Fields. The Resource Fields window is displayed.
  2. Click on New Field. All fields are activated ready for data entry.
  3. Enter a label for the resource field into the Column Name entry box provided 1.
  4. Enter a Description for the resource field into the entry box provided.
  5. Using the Data type drop-down field, select the desired format to match the resource field - Date Only, Date Time, Decimal, Integer, Lookup, Text, Time Only, True or False (summarised in the table below).
  6. Specify the required data type criteria, range or user-defined lookup list to control the permitted entries.
  7. Using the Companies drop-down field, multi-select all companies for which this resource field is relevant, or choose the All option, as required 1.
  8. Choose an Effective from date for this resource field i.e. the date on which it came into effect 2.
  9. Choose an Effective to date if the resource field is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the resource field will be continually valid.
  10. Click on Save 3.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as required; the All tick box will be automatically removed once an item is de-selected.

Note

1 System validation rules ensure that the column name entered for each new resource field is unique.

2 The Effective from date defaults to the current system date and cannot be left blank.

3 To amend the details of an existing resource field, select a criteria description from the alphabetical list or enter its name into the Search Resource Fields entry box. By default the list is filtered to show Current resource fields. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of values can be updated once a record has been created.

Accepts a Boolean response. The field will be displayed as a tick box, where active = True and inactive = False.
