All compliance-focused activities that serve to mitigate or eliminate any aspect of risk can be grouped together into specific categories. Referred to as an Action Type, these activities define the scope and purpose of a coordinated response and are created through the Configure Action Types form.
The procedure to create a new risk action type is as follows:
- Navigate to Quick Menu > Actions > Configuration > Configure Action Types. The Configure Action Types window is displayed.
- Select an action group from the alphabetical list, or enter its name into the Search for Action Types field. By default the list is filtered to show Current action group headings / types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All
1.
- Click on New Action Type
2. All fields are activated ready for data entry and the name of the selected Action group is automatically populated.
- Enter a Description for the action type into the field provided e.g. Fire Extinguishers, Water Treatment, etc.
3.
- Enter the Cost value attributed to conducting actions of this type into the field provided. The Up and Down arrows are available to increment or decrement the value, as required.
- Use the combined Start by duration and Start by duration type fields to specify the allotted time period before actions of this classification must commence (e.g. 5 days).
- Use the combined Complete by duration and Complete by duration type fields to specify the period within which actions of this classification must be concluded (e.g. 10 days).
- Use the Minimum Quantity and Maximum Quantity fields to define the number of relevant equipment items that can be covered by a single action of this type e.g. the number of fire extinguishers to be located on site.
- Using the Priority drop-down field, select the priority weighting attributed to actions of this type.
- Where the action can be raised repeatedly within the sphere of an assessment cycle, active the Aggregate tick box provided.
- Choose an Effective from date for this new action type i.e. the date on which the classification came into effect
4.
- Choose an Effective to date if the action type is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the classification will be continually valid.
- Using the Companies drop-down field, multi-select all companies relevant to the operating boundaries of this action type, or choose the All option, as required
1.
- Using the Entity types drop-down field, multi-select the specific focus areas relevant to this action type i.e. Asset, Equipment, Generic Case, and the like; the matching Entity Subtypes can be chosen using the adjacent spyglass (
).
- Click on Save. The new action type appears in the alphabetical list, underneath the assigned group heading.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 The Search for Action Types field will also match against any element of the action group description.
2 Upon first access, all fields are automatically activated ready for data entry; hence the New Action Type button is inactive.
3 System validation rules ensure that the description entered for each new action type is unique for the effective period.
4 The Effective from date defaults to the current system date and cannot be left blank.
