The procedure to create a new action plan for a resource type is as follows:
- Navigate to Quick Menu > System > Configuration > Action Plans. The Action Plans window is displayed.
- Click on New Plan. All fields are activated ready for data entry.
- Enter a Description for the resource action plan into the field provided
1.
- Using the Plan Type drop-down field, select the resource type appropriate for this action plan e.g. Organisation Asset, Non-Organisation Asset or Service.
- Use the SLA days field to enter the default number of elapsed days within which the plan should be completed i.e. the combined number of target days for all included actions (an integer value). The Up and Down arrows are available to increment or decrement the value, as required.
- Use the SLA Amber warning days field to set the advance warning period (in days) prior to the target completion date being reached (an integer value). The Up and Down arrows are available to increment or decrement the value, as required.
- Use the Close days field to enter the default number of elapsed days after which an action plan should be automatically closed following the creation of an agreement. The Up and Down arrows are available to increment or decrement the value, as required. Alternatively, activate the Close on new agreement tick box to control the immediate closure of an action plan.
- Using the Calendar drop-down field, select the calendar that reflects the required period structure for SLA calculations.
- Choose an Effective from date for this resource action plan i.e. the date on which it came into effect
2.
- Choose an Effective to date if the resource action plan is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the plan will be continually valid.
- Using the Company drop-down field, multi-select all companies for which this resource action plan is relevant, or choose the All option, as required
1.
- Click on Save
3.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as required; the All tick box will be automatically removed once an item is de-selected.
Note
1 System validation rules ensure that the description entered for each new resource action plan is unique.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 To amend the details of an existing resource action plan, expand the resource type, select an entry from the alphabetical list (or type the name into the Search Action Plans field) and repeat steps 3 through 12. By default the list is filtered to show Current resource action plans. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations.
