The procedure to create a new action for a resource type is as follows:
- Navigate to Quick Menu > System > Configuration > Action Plan Actions. The Actions window is displayed.
- Click on New Action
1. All fields are activated ready for data entry.
- Enter a Description for the action into the field provided e.g. Repairs Ordered, Repairs Completed, Training Room Booked, Trainer Allocated, etc.
2.
- Using the Plan Type drop-down field, select the resource type appropriate for this action e.g. Organisation Asset, Non-Organisation Asset or Service.
- Enter the Estimated Cost associated with the action into the field provided. The Up and Down arrows are available to increment or decrement the value, as required.
- If, on successful completion of the action, the associated resource is Available to Shortlist, activate the tick box provided.
- If, on successful completion of the action, the associated resource is Available to Market, activate the tick box provided.
- If, on successful completion of the action, the associated resource is Available to Repair, activate the tick box provided.
- Use the Target Days field to enter the default number of elapsed days during which the action should be completed (an integer value). The Up and Down arrows are available to increment or decrement the value, as required
3.
- Use the Warning Days field to set the advance warning period (in days) prior to the target completion date being reached (an integer value). The Up and Down arrows are available to increment or decrement the value, as required
3.
- Choose an Effective from date for this resource action i.e. the date on which it came into effect
4.
- Choose an Effective to date if the resource action is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the action will be continually valid.
- Click on Save
5.
Note
1 In addition to the creation of user-defined actions, pre-configured system actions are also listed e.g. Invitation To View, Under Offer, Offer Refused, Offer Withdrawn, Offer Accepted, etc. (denoted by an asterisk).
2 System validation rules ensure that the description entered for each new resource action is unique.
3 On including the resource action within a plan, the number of elapsed days can be amended.
4 The Effective from date defaults to the current system date and cannot be left blank.
5 To amend the details of an existing resource action, expand the resource type, select an entry from the alphabetical list (or type the name into the Search Actions field) and repeat steps 3 through 13. By default the list is filtered to show Current resource actions. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations.
