The procedure to assign a user account to a group is as follows:
- Navigate to Quick Menu > Security > Access Rights > User Group Details. The User Group Details window is displayed.
- Expand a parent group heading from the alphabetical list (where appropriate) and select an associated group, or type the name into the Search Groups field. By default the list is filtered to show Current groups. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations
1.
- With the correct group displayed, click on Assign User. The Assign Users window is displayed.
- Using the User name drop-down field, multi-select all user accounts to be assigned to the group, or choose the All option, as required
1.
- Activate the Responsible tick box provided, where applicable, to reflect the required status of an individually assigned user account
2.
- Choose an Effective from date for this assigned groups of users i.e. the date on which the user group memberships became active
3.
- Choose an Effective to date to automatically deallocate the assigned users on a specific date in the future; a blank field means the assigned users will remain members of the group in perpetuity.
- Click on Confirm. All assigned user accounts are displayed in the Users Assigned summary table.
- Click on Save
4.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as required; the All tick box will be automatically removed once an item is de-selected.
Note
1 The Search Groups field will match against any element of the group name.
2 This option is only activated in the instance where a single user name has been selected for membership of the group; it is good practice to assign the responsible member first and then repeat steps 3 through 8 to add additional members.
3 The Effective from date defaults to the current system date and cannot be left blank.
4 System validation rules ensure that each group has a nominated 'responsible' user.
