To add a new paragraph to the statement bank

The procedure to add a new paragraph to the statement bank is as follows:

  1. Navigate to Quick Menu > Communication Engine > Communication > Standard Communication. The Standard Communication Maintenance window is displayed.
  2. Click on Paragraphs. The Paragraphs tab is activated.
  3. Click on New Paragraph.
  4. Using the Company drop-down field, multi-select all companies for which this paragraph is relevant.
  5. Enter the Paragraph Name into the field provided 1.
  6. Enter the desired text into the Paragraph Content field 1.
  7. Choose an Effective from date for this paragraph i.e. the date on which it came into effect 2.
  8. Choose an Effective to date if the paragraph is to be time bound; a blank field means the paragraph will never expire.
  9. Click on Save. The new paragraph is displayed in the alphabetical list, underneath each associated company 3.


Tip

1 To aid in identification purposes, it is good practice to devise and uphold a consistent naming convention for all paragraphs.

Note

1 No style or formatting is applied to the paragraph text at this stage; the appearance is controlled through each template to which it is uploaded.

2 The Effective from date defaults to the current system date and cannot be left blank.

3 To amend the details of an existing paragraph, expand the company heading, select an associated paragraph (or type its name into the Search Paragraph field) and repeat steps 6 through 9.
