To update the outcome of an alert review cycle

The procedure to update the outcome of an alert review cycle is as follows:

  1. Navigate to Quick Menu > System > Configuration > Alerts. The Alert Details window is displayed.
  2. Expand an alert type heading and linked entity before selecting an associated alert from the alphabetical list, or type its name into the Search Alert field. By default the list is filtered to show Current alerts. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on View Entities. The View Entities tab is activated, revealing all records linked to the alert in the Entities summary table, categorised using the Entity type column: Asset, Contact or Contact Group.
  4. Highlight the row matching an entity for which an alert review target date has been reached.
  5. Click on Complete Review 2. The Complete Review window is displayed, confirming the description of the alert and the selected entity record.
  6. Using the Outcome drop-down field, select a parameter value to categorise the outcome of the alert review for that specific entity i.e. Still Applicable or No Longer Applicable 3.
  7. Use the Notes field to add contextual information in support of the outcome being achieved.
  8. Click on Save.
  9. Repeat steps 4 through 8 to capture review outcomes for further entity records.


Note

1 The Search Alert field will match against any element of the alert description.

2 This option is active only for entities where the calculated review date, derived from the assigned review period settings of the overarching alert, has been reached.

3 Where the alert outcome of a specific entity is categorised as No Longer Applicable, the Effective To field is automatically updated to match the current date stamp, therefore clearing the record from further action.
