The procedure to create a new conditional alert is as follows:
- Navigate to Quick Menu > System > Configuration > Alerts. The Alert Details window is displayed.
- Click on New Alert. All fields are activated ready for data entry

- Enter a Description for the new conditional alert into the field provided

- Enter the Label into the field provided i.e. a pseudo (friendly) name that will be meaningful to the end user and convey the purpose of the conditional alert.
- Enter an Alert code into the field provided, as appropriate i.e. an internal abbreviation for the alert that can be displayed in preference to the full label.
- Using the Alert type drop-down field, select the specific parameter value of Conditional.
- Using the Companies drop-down field, multi-select all companies for which this conditional alert is relevant, or choose the All option, as required

- Use the Alert comments field to add supporting contextual information that is relevant to the alert.
- Choose an Effective from date for this conditional alert i.e. the date on which it came into effect

- Choose an Effective to date if the conditional alert is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the alert will be continually valid.
- Using the Entity type drop-down field, select the entity for which this conditional alert is relevant i.e. Asset, Contact or Contact Group.
- Using the Severity drop-down field, select a parameter value appropriate to the scale of the conditional alert (e.g. Information, Warning, High, High with confirmation, etc.)

- Using the Context drop-down field, select a parameter value to determine how this information will be shared i.e. Publish to all, Publish to internal only.
- Where a bespoke SQL stored procedure has been created to control the assignment of this conditional alert, enter the procedure name into the SQL routine field provided

- Using the Review calendar drop-down field, select the required calendar that will be used to obtain the frequency for the alert review cycle.
- Using the Review period unit drop-down field, select an appropriate frequency parameter for the target review period e.g. Minutes, Days, Weeks, Months, etc.
- Enter the Review period value into the field provided i.e. the Review period unit multiplier
6. The Up and Down arrows are available to increment or decrement the value, as required.
- Using the Review roles drop-down field, multi-select all user roles permitted to conduct periodic reviews of this conditional alert for each linked entity, or choose the All option, as required.
- Using the View roles drop-down field, multi-select all user roles permitted to receive visual notification of this conditional alert for each linked entity, or choose the All option, as required.
- Using the View locations drop-down field, multi-select the specific areas of coverage for this conditional alert within each overarching entity category: Assets, Contacts and Contact Groups.
- Click on Save.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 Upon first access, all fields are automatically activated ready for data entry; hence the New Alert button is inactive.
2 System validation rules ensure that the description entered for each alert is unique for the effective period.
3 The Effective from date defaults to the current system date and cannot be left blank.
4 The system will automatically trigger warning messages for the High with confirmation alert type, with the end user acknowledgement frequency determined by the system preference No of hours to retain user acknowledgement of alerts with confirmation.
5 More complex algorithms can be captured within a SQL stored procedure and linked to the conditional alert in this way. Where a stored procedure has been linked to the alert, entity criteria statements cannot also be employed, and vice versa.
6 By way of example, if a five day review frequency was required, a Review period of '5' would be inserted, coinciding with a Review period unit of 'Days'.
