All certifications held by the contractor and relevant to their service industry must be stored on the system e.g. Gas Safe (engineers who are qualified to work safely and legally on gas appliances), NICEIC (the UK's leading regulatory body for the electrical contracting industry), ARCA (Asbestos removal certification awarded by the Asbestos Removal Contractors Association), etc. These records of accreditation define the work each contractor is qualified to carry out. To ensure that only suitably qualified contractors are allocated to work orders, Civica Cx Housing is designed specifically to restrict the selection of contractors to those that match the contract rules and specifically the accreditation type defined in the Schedule of Rates (SOR).
The procedure to update the accreditation of a contractor is as follows:
- Navigate to Quick Menu > Repairs > Configuration > Contractors. The Contractor Details window is displayed.
- Select a contractor from the alphabetical list or type their name into the Search Contractors field. By default the list is filtered to show Current contractors. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations
1.
- With the correct contractor displayed, click on Accreditations. The Accreditations tab is activated, revealing a list of certifications awarded to the contractor, both current and lapsed.
- Click on New Accreditation. The Add Accreditation window is displayed.
- Using the Accreditation type drop-down field, select one of the parameter values available (e.g. Gas Safe, NICEIC, ARCA, etc.).
- Enter the certification Reference and Description into the fields provided.
- Choose an Effective from date for this record of accreditation i.e. the date on which the certification was awarded
2.
- Choose an Effective to date to capture when the certification expires.
- Click on Save to store the single entry or Save & Add to record additional certifications. The entries appear in the Accreditations summary table
3.
Note
1 The Search Contractors field will match against any element of the contractor name.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 Double-clicking on a row in the Accreditations summary table will allow the details to be edited, with the exception of Accreditation type.
