Under current statute there is a requirement for housing organisations to collect equality and diversity information about all their customers (contacts). For each contact there is provision to record information on their ethnicity, nationality, religion and sexual orientation, together with any disabilities they may have. Indeed, the accurate and timely recording of disability information is critical in order to deliver the most effective customer engagement services.
The procedure to update a contact profile is as follows:
- Using the global search facility, type in the first few characters of the contact

- Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon (
).
- Click on Contact Details. The Contact Details window is displayed for the current contact.
- Click on Profiling. The three core strands of diversity are displayed.
- Within the Ethnicity and Cultural Details section, use the drop-down fields to set the contact's Ethnicity and Nationality, populating the Comments field to add contextual information in respect of the selections made.
- Within the Religion Details section, use the drop-down field to set the contact's Religion, populating the Cultural Needs and Comments fields to add contextual information in respect of the selection made.
- Within the Sexual Orientation Details section, use the drop-down field to set the contact's Sexual orientation, populating the Comments field to add contextual information in respect of the selection made.
- For all three strands of diversity choose an Effective from date relevant for this new contact i.e. the date at which the details become active

- Similarly, choose an Effective to date if the details need to be reviewed on a specific date or to capture a change of circumstances; a blank field means the details will never expire.
- Click on Save.
The procedure to add a new disability is as follows:
- Click on New Disability. The New Disability window is displayed.
- Using the Disability drop-down field, select the appropriate disability parameter (e.g. Hard of hearing, Visually impaired).
- Choose an Effective from and Effective to date for this new disability i.e. to denote when the disability came into effect and also the anticipated review date, as appropriate

- Click on Save.
Note
1 The search facility will return all possible matches for both first name and last name.
2 The Effective from date defaults to the current system date and cannot be left blank.
