Authorisation limits are assigned at individual user account level and cover three key aspects of rents management: rent charge adjustment authorisation, void loss adjustment authorisation and rent payment authorisation. In addition to global values being set - transcending all charge types and payment methods - it is also possible to apply separate authorisation thresholds to different charge elements and types of payment received. Defined entirely by the end user, the spectrum of authorisation limits control the individual values posted directly to an account - either to adjust a rent charge value, an expected payment or a void loss - and also via a batch, with validation both at transaction and combined total level. These rent authorisation settings ensure that variations can only be applied within set audit boundaries.
The procedure to set rent authorisation limits for a user account is as follows:
- Navigate to Quick Menu > Security > Access Rights > User Details. The User Details window is displayed.
- Select a user account from the alphabetical list or type their name into the Search Users field. By default the list is filtered to show Current users. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- With the correct user account displayed, click on Rent Limits. The Rent Limits tab is activated.
- Enter the Maximum adjustment value - Debit and Maximum adjustment value - Credit amounts into the fields provided i.e. the thresholds above which authorisation is required for an individual rent charge Debit / Credit adjustment, either posted directly to an account or via a batch. The Up and Down arrows are available to increment or decrement the value, as required.
- Enter the Maximum adjustment batch value into the field provided i.e. the total batch value above which authorisation is required when posting an adjustment batch.
- Enter the Maximum payment value into the field provided i.e. the threshold above which authorisation is required when posting an individual rent payment included as part of an overall payment batch.
- Enter the Maximum payment batch value into the field provided i.e. the total batch value above which authorisation is required when posting a payment batch.
- Enter the Maximum account invoice authorisation limit into the field provided i.e. the threshold above which authorisation is required when manually issuing an invoice to a third party.
- Enter the Maximum auto issue invoice value into the field provided i.e. the threshold above which authorisation is required when issuing an invoice to a third party via a system schedule.
- Click on Save.
Optionally, to set rent authorisation limits at charge element level:
- Repeat steps 1 and 2, described in the procedure to set rent authorisation limits for a user account (above).
- Click on Element Authorisation. The Element Authorisation window is displayed.
- Using the Element drop-down field, select an appropriate parameter value against which to assign an authorisation threshold.
- Enter the Value for the rent charge element into the field provided i.e. the threshold above which authorisation is required. The Up and Down arrows are available to increment or decrement the value, as required.
- Using the Company drop-down field, multi-select all the companies for which this authorisation threshold is relevant, or choose the All option, as required

- Click on Confirm. The new authorisation threshold is displayed in the Element Authorisation summary table

- Click on Save.
Optionally, to set rent authorisation limits at payment method level:
- Repeat steps 1 and 2, described in the procedure to set rent authorisation limits for a user account (above).
- Click on Payment Authorisation. The Payment Authorisation window is displayed.
- Using the Payment Type drop-down field, select an appropriate parameter value against which to assign an authorisation threshold.
- Enter the Value for the rent payment method into the field provided i.e. the threshold above which authorisation is required. The Up and Down arrows are available to increment or decrement the value, as required.
- Using the Company drop-down field, multi-select all the companies for which this authorisation threshold is relevant, or choose the All option, as required

- Click on Confirm. The new authorisation threshold is displayed in the Payment Authorisation summary table

- Click on Save.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as necessary; the All tick box will be automatically removed once an item is de-selected.
Note
1 The Search Users field will match against the Full name of the user account and not their User name.
2 To amend the rent authorisation limits for a user account at charge element or payment method level, double-click on the data row in the corresponding summary table and repeat steps 3 through 6 of the procedure.
