To define the automatic task path for a home buy stage

The procedure to define the automatic task path for a home buy stage is as follows:

  1. Navigate to Quick Menu > Home Buy > Configuration > Home Buy Stage Type. The Home Buy Stage Configuration window is displayed.
  2. Expand a company subheading from within the nested classification structure and select an associated stage from the alphabetical list, or enter its name into the Search Stage Types field. By default the list is filtered to show Current stage types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Automatic Tasks. The Automatic Tasks tab is activated.
  4. Click on New Automatic Task 2. The Home Buy Stage Type Automatic Task window is displayed.
  5. Using the Task drop-down field, select the appropriate task to be added to the path of the home buy stage 3.
  6. Using the Predecessor tasks drop-down field, multi-select all prerequisite tasks that must be completed, or choose the All option, as required 4 1 .
  7. Using the Lag period unit drop-down field, select an appropriate frequency parameter for the delay between dependent tasks e.g. Minutes, Days, Weeks, Months, etc.
  8. Enter the Lag period value into the field provided i.e. the Lag period unit multiplier 5. The Up and Down arrows are available to increment or decrement the value, as required.
  9. Where the completion of a task is Mandatory for the home buy stage, activate the tick box provided.
  10. Choose an Effective from date for this record i.e. the date on which the task's inclusion in the path came into effect for this home buy stage 6.
  11. Choose an Effective to date if the task's inclusion needs to be reviewed on a specific date or to capture a change of circumstances; a blank field means the task will remain within the path in perpetuity.
  12. Click on Save. The task is displayed as a discrete event in the Automatic Tasks graphical timeline (and within the Automatic Tasks summary table, accessible via the Switch View option).
  13. Repeat steps 4 through 12 to add further tasks to the path 7.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is de-selected.

Note

1 The Search Stage Types field will match against any element of the home buy stage description.

2 The definition of a home buy stage path is at the discretion of the end user; where no path exists, they can simply add tasks manually during the creation of a case.

3 Only tasks added to the home buy stage will be available for inclusion in the workflow path.

4 System validation rules ensure that a task cannot be a predecessor of itself.

5 By way of example, where a dependency delay of five days was required between the predecessor task and the current one, a Lag period of '5' would be inserted, coinciding with a Lag period unit of 'Days'.

6 The Effective from date defaults to the current system date and cannot be left blank.

7 A task definition can only be added once to a home buy stage; where more than one instance of a task is required, a clone of the original task definition must first be created and linked separately.
