To create a new equipment servicing programme

The procedure to create a new equipment servicing programme is as follows:

  1. Navigate to Quick Menu > Planned & Servicing Lite > Management > Service Program Management. The Service Program Management window is displayed.
  2. Click on New Program 1. All fields are activated ready for data entry.
  3. Enter a Service program name for the cyclical equipment servicing programme into the field provided 2.
  4. Use the Description field to add contextual information in support of the equipment servicing programme.
  5. Using the Company drop-down field, select a company for which this equipment servicing programme is relevant.
  6. Choose an Effective from date for this equipment servicing programme i.e. the date on which it came into effect 3.
  7. Choose an Effective to date if the equipment servicing programme is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the programme will be continually valid.
  8. Enter the Cycle frequency value into the field provided i.e. the Unit multiplier governing the elapsed time between services 4. The Up and Down arrows are available to increment or decrement the value, as required.
  9. Using the Unit drop-down field, select an appropriate frequency parameter for the cycle period e.g. Days, Months, Years.
  10. Enter the Lead time value into the field provided i.e. the Unit multiplier governing the latency between the initiation and execution of the equipment servicing programme 5. The Up and Down arrows are available to increment or decrement the value, as required.
  11. Using the Unit drop-down field, select an appropriate duration parameter for the lead time period e.g. Days, Months, Years.
  12. Using the Service type drop-down field, select a parameter value to capture the type of equipment service being managed through the programme e.g. Gas Boiler Annual Service, Lift Maintenance Monthly Service, etc.
  13. Using the Priority drop-down field, select a parameter value to denote the priority weighting assigned to the equipment servicing programme i.e. the default priority that will be cascaded to the resulting repair works orders.
  14. Using the Repair type drop-down field, select a parameter value to define the classification of each repair works order generated through the equipment servicing programme.
  15. Using the Contractor drop-down field, select the service provider to be awarded the cyclical maintenance; the associated default Contract can also be specified using the adjacent field 6.
  16. Where work instructions are to be automatically created through the equipment servicing programme, activate the Generate works orders tick box provided.
  17. Where work instructions are to be automatically assigned to contractors through the equipment servicing programme, activate the Issue works orders tick box provided.
  18. Select the staff member coordinating the equipment servicing programme using the Request contact spy-glass icon (). The Search Contact window is displayed.
  19. Enter sufficient details into the contact fields provided and click on Search. The Select Contact window is displayed, returning all possible matches.
  20. Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria. The name of the contact is displayed in the corresponding field.
  21. Click on Edit Criteria. The Statement Builder window is displayed, ready to define one or more conditions to control the subset of assets to be included within the equipment servicing programme.   22. Click on Save.


Note

1 Upon first access, all fields are automatically activated ready for data entry; hence the New Program button is inactive.

2 System validation rules ensure that the name entered for each new equipment servicing programme is unique for the effective period.

3 The Effective from date defaults to the current system date and cannot be left blank.

4 By way of example, if a ten month equipment servicing frequency was required, a Cycle of '10' would be inserted, coinciding with a Unit of 'Months'.

5 By way of example, if a 30 day period was required between initiation and execution of an equipment servicing programme, a Lead time of '30' would be inserted, coinciding with a Unit of 'Days'.

6 The list of contracts available for selection is automatically filtered to match the chosen contractor.
