To create a contractor statement

The procedure to create a contractor statement is as follows:

  1. Navigate to Quick Menu > Repairs > Configuration > Contractors. The Contractor Details window is displayed.
  2. Select a contractor from the alphabetical list or type their name into the Search Contractors field. By default the list is filtered to show Current contractors. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. With the correct contractor displayed, click on Statements. The Statements tab is activated, revealing a list of current statements in the Statements summary table.
  4. Click on New Statement. The Search Works Order window is displayed.
  5. Enter sufficient works order details into the search fields provided and click on Search. A list of matching works orders is displayed, in reference number order.
  6. Multi-select all desired works orders to be included on the statement by activating the tick boxes provided, or use Refine Search to enter alternative criteria.
  7. Where the statement is recorded retrospectively, use the calendar () icon to update the Created Date, or type in the value directly 2.
  8. Use the Comments field to add any contextual information relevant to the contractor statement e.g. the period covered by the statement.
  9. Click on Save to build the statement from the current selections only or Save & Search to include further works orders from an alternative set of search criterion. The new statement is displayed in the Statements summary table and assigned the next sequential unique reference number 1.


Tip

1 Statement rows can be reordered by clicking on any of the available headings: Order Reference, Created Date, Description, Status, Actual Cost.

Note

1 The Search Contractors field will match against any element of the contractor name.

2 The permitted date entry format is DD/MM/YY or DD/MM/YYYY.
