The allocation and award of contracts to approved contractors is governed by user-controlled definition criteria. A contract definition specifies the nature and scope of the work to be carried out by a contractor under the terms of the contract, identifying their required expertise, in terms of the matching trade, repair types, and SOR codes, plus the level of service provided, aligned to the different property classifications.
The procedure to configure the planned maintenance contract definition is as follows:
- Prerequisite procedural steps are covered separately in the topics To create a new planned maintenance contract, To allocate devolved budget figures to a planned maintenance contract and To define the operating parameters for a planned maintenance contract. Refer to these before proceeding to step 2.
- With the New Contract (Step 4) window in current focus, assign the relevant definition settings to the planned maintenance contract.
- Where an existing contract definition will be employed, activate the Use existing contract definition attribute and select the matching option from the adjacent drop-down field. Proceed to step 13.
- Alternatively, activate the Create new contract definition attribute to configure custom settings.
- Using the SOR table drop-down field, choose the table that matches the scope of the contract definition.
- Activate the All functional units tick box provided to assign all parameter values to this definition. Alternatively, to select a subset of matching functional units: (a) Click on the adjacent spy-glass icon (
) - The Functional unit select window is displayed, revealing a filtered list of functional units linked to the selected companies
1; (b) Activate the tick box against one or more functional units to be included within the contract definition - click on the expansion level pointer icon (
) to reveal functional unit group membership records; (c) Click on Add to transfer the chosen subset to the right ('required') pane, or Add All to transfer all displayed records, irrespective of tick box status
2; (d) Click on Select - The chosen functional unit subset is summarised in the corresponding field.
- Activate the All trades tick box provided to assign all parameter values to this definition, or multi-select a subset using the adjacent drop-down field (e.g. Brickwork, Joinery, Plumbing, Plastering, etc.), as required

- Activate the All repair types tick box provided to assign all parameter values to this definition, or multi-select a subset using the adjacent drop-down field (e.g. Planned, Void, Insurance claim, etc.), as required.
- Activate the All priorities tick box provided to assign all parameter values to this definition, or multi-select a subset using the adjacent drop-down field (e.g. 24 Hour Emergency, Next Day, Monthly, etc.), as required.
- Activate the All inspection types tick box provided to assign all parameter values to this definition, or multi-select a subset using the adjacent drop-down field (e.g. Pre-inspection, Work In Progress (WIP) inspection, Post inspection, etc.), as required.
- Activate the All SORs tick box provided to assign all parameter values to this definition i.e. the SOR descriptions that match the scope of the contract definition
3. Alternatively, to select a subset of matching SORs: (a) Click on the adjacent spy-glass icon (
) - The SOR Select window is displayed, revealing all SOR section trades within the selected table
4; (b) Activate the tick box against one or more SOR section trades to be included within the contract definition - click on the nested expansion level pointer icons (
) to reveal the associated trades and concatenated SOR codes + descriptions; (c) Click on Add to transfer the chosen subset to the right ('required') pane, or Add All to transfer all displayed records, irrespective of tick box status
5; (d) Click on Select - The chosen SOR code subset is summarised in the corresponding field.
- Where the planned maintenance covered by the contract falls under the Right to repair scheme, activate the tick box provided.
- Click on Finish.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.
Note
1 The returned results can be refined further by entering a component of the Functional unit name into the dynamic search field provided.
2 In the same way, use the options Remove and Remove All in conjunction with the associated tick box fields to transfer functional unit entries out of the right ('required') pane.
3 The filtered list of SOR descriptions will match the SOR table selected.
4 The returned results can be refined further by entering a component of the SOR code or description into the dynamic search field provided.
