Each custom communication definition created within Civica Cx Housing can be linked to one or more metadata values, which are selected from the full range of core and subsidiary data tags associated with the overarching entity. Where the chosen values map to equivalent EDM properties used in the classification of externally held documents, any communications generated using that definition template will not only be transferred automatically to the appropriate database and storage folder of iManage Work but also annotated with the correct classification values.
The procedure to configure an iManage Work document transfer rule using communication metadata is as follows:
- Navigate to Quick Menu > System > Configuration > Integration Management. The Integration Management window is displayed.
- Expand the iManage document store subheading from within the nested EDM System classification structure and select an associated integration service from the alphabetical list (or enter its name into the Search Integrations field). By default the list is filtered to show Current integration services. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- Click on Communication Configuration. The Communication Configuration tab is activated.
- Click on New Communication Metadata. The Communication Metadata Value window is displayed.
- Using the Communication entity type drop-down field, select the desired classification of communication event e.g. Rent Agreement, Repair Works Order, etc.
- Using the Database drop-down field, select the name of the specific database to receive all such communications

- Using the Folder name drop-down field, select the target location within the document store i.e. the destination folder within the EDM system where all resulting communications will be stored

- Using the Custom drop-down field, select the unique identifier value within the EDM system corresponding to the equivalent Cx reference.
- Using the Cx related entity type drop-down field, select the specific focus area relevant to the communication origin e.g. ASB Case.
- Using the Cx reference drop-down field, select the unique identifier to be used for all generated communications matching the chosen entity type

- Choose an Effective from date for this document transfer rule i.e. the date on which it came into effect

- Choose an Effective to date if the document transfer rule is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the rule will be continually valid.
- Click on Save. The new document transfer rule is displayed in the Metadata Mapping for Communication Definitions summary table.

1 The Search Integrations field will match against any element of the EDM service description.
2 These custom values can be populated by the end user via the general lookup parameter entitled iManage Database Names.

4 Only reference fields linked to the chosen entity type will be available for selection.
5 The Effective from date defaults to the current system date and cannot be left blank.
