The procedure to configure an estate management case schedule is as follows:
- Navigate to Quick Menu > System > Cases and Tasks > Case Scheduler. The Case Scheduler Configuration window is displayed.
- Click on New Schedule
1. All fields are activated ready for data entry.
- Enter a Description for the estate management case schedule into the field provided
2.
- Using the Classification drop-down field, select the specific parameter value of Estate Management.
- Use the Detail field to add contextual information detailing the scope of the estate management case schedule.
- Using the Company drop-down field, select the specific company for which this estate management case schedule is relevant.
- Using the Estate inspection type drop-down field, select the appropriate estate management inspection to be delivered in accordance with the case schedule.
- Using the Recurrence type drop-down field, choose the method by which the estate management case schedule will be constructed: Calculate from last case, Fixed dates or Fixed frequency.
- Where the Calculate from last case method is preferred: (a) Use the Frequency unit drop-down field to select an appropriate interval parameter (Days, Months or Years); (b) Enter the corresponding Frequency period unit multiplier into the adjacent field - The Up and Down arrows are available to increment or decrement the value; (c) Using the Calendar drop-down field, select the calendar that reflects the required case iteration cycle; (d) Using the Last case calculate from date drop-down field, choose the desired launch point trigger for each successive estate management case (Actual Inspection Date, Start Date, End Date or Target Inspection Date).
- Where the Fixed dates method is preferred, record the discrete dates required to launch separate estate management cases via the Fixed Date tab. This requisite step is covered separately in the topic To allocate an owner to a support provision case.
- Where the Fixed frequency method is preferred, use the Fixed recurrence frequency drop-down field to specify the interval parameter required to steer the automatic generation of the estate management cases i.e. Weekly, Monthly or Yearly; the supporting recurrence fields are summarised in the table below.
- Click on Estates. The Estates tab is activated, ready to define the subset of estate records applicable to the case schedule. This requisite step is covered separately in the topic To assign estate records to a system case schedule.
- Choose an Effective from date for this estate management case schedule i.e. the date on which it came into effect
3.
- Choose an Effective to date if the estate management case schedule is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the schedule will be continually valid.
- Click on Save. The new case schedule is displayed in the alphabetical list, underneath the Estate Management classification heading
4.
Note
1 Upon first access, all fields are automatically activated ready for data entry; hence the New Schedule button is inactive.
2 System validation rules ensure that the name entered for each system case schedule is unique for the selected classification, within the same effective period.
3 The Effective from date defaults to the current system date and cannot be left blank.
4 To amend the details of an existing estate management case schedule, expand the Estate Management classification heading and select a schedule from the alphabetical list (or enter its name into the Search Scheduled Cases field) and repeat steps 3 through 15. By default the list is filtered to show Current case schedules. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.
