As the variations in required charge elements may be only minimal, it is possible to clone existing records, retaining all the attributes and configuration settings for applicable account and agreement types, mapped costs, notification periods for incremental increases, etc. and apply the required changes to the new copy, thus saving time and effort.
The procedure to clone a rent charge element is as follows:
- Navigate to Quick Menu > Rents > Configuration > Rent Element. The Element Details window is displayed.
- Expand a classification heading from the alphabetical list and select an associated rent charge element, or type its name into the Search Elements field. By default the list is filtered to show Current rent charge elements. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- Click on Clone Element. The Elements Details window is populated with all the attributes of the source rent charge element.
- Enter an Element code into the field provided i.e. the unique identifier for the cloned charge element

- Enter a Description for the cloned charge element into the field provided.
- Using the Classification, Category, VAT code, Applicable account types, Applicable agreement types, New charge notice units, New charge notice period, Increase notice units, Increase notice period and Companies drop-down fields, ensure that the selected parameter values are still valid for this rent charge element and apply any required changes.
- Ensure that all attributes of the cloned rent charge element are still valid and apply any required changes using the tick boxes provided. An explanation of each available attribute is summarised in the table below.
- Amend the Effective from date for this cloned rent charge element, as required i.e. the date on which it came into effect

- Amend the Effective to date for this cloned rent charge element, as required i.e. to specify the valid duration; a blank field means the charge element will be continually valid.
- Click on Save. The cloned rent charge element appears in the alphabetical list, underneath the associated classification heading.

1 The Search Elements field will match against any component of the charge element description.
2 System validation rules ensure that the code entered for each new rent charge element is unique.
3 The Effective from date defaults to the current system date and cannot be left blank.
