To authorise a contractor invoice

The procedure to authorise a contractor invoice is as follows:

  1. Navigate to Quick Menu > Repairs > Finance > Invoice Details. The Invoice Details window is displayed.
  2. Expand the relevant progression status, contractor name and classification type headings before selecting a specific invoice from the hierarchical list, or type its reference into the Search Invoices field. By default the list is filtered to show Open invoice records. An alternative filter can be applied using the Select view drop-down field: Posted, Cancelled or All 1.
  3. Click on Authorise 2. The invoice status is updated to Authorised Invoice or Awaiting Second Level Authorisation, as appropriate.
  4. Repeat these steps to complete subsequent levels of authorisation 3.


Note

1 The Search Invoices field will match against any associated element of the invoice record i.e. status progression value, contractor name, or reference number.

2 Authorisation permission is only granted to user accounts with the First level invoice authorisation attribute activated and a repair authorisation limit exceeding the total invoice value. Where the value of the invoice differs from the original order, authorisation permission is only granted to user accounts with the Second level invoice authorisation attribute activated and a repair authorisation limit exceeding the variation amount, either by value or percentage.

3 The steps to complete an invoice authorisation level are identical but will likely be conducted by different system users depending on their authorisation permissions; a notification message will be displayed, confirming which user accounts have the correct level of authorisation to progress the invoice onto the next stage.
