To assign individual task entities for a generic case

During the progression of a generic task, the availability of related system information located within specific module areas may be required in order to complete all relevant activities. For instance, where a task exists to manage a potential property abandonment, it would be necessary for the allocated owner to link the task to the relevant rent account. These system fields - entities - can be configured within the task definition and are then automatically triggered via the associated classification type when the new generic case is formulated, steering the end user to select the appropriate entity value relevant to the active generic task.


The procedure to assign individual task entities for a generic case is as follows:

  1. Using the Advanced search spy-glass (), select Generic Case Task as the Search for and Search by category, and enter the Task ID as the search criteria 1.
  2. With the Results tab in current focus, double-click on the row containing the exact record match, or return to the Criteria tab and refine the search filters. The Generic Case Task Details window is displayed.
  3. With the Summary tab in current focus, click on Select Entity 2. The Select Task Entity window is displayed, revealing a list of those records linked to the generic case that match the entity type configured for the specific task definition.
  4. Highlight the specific row matching the entity value relevant to the progression of the generic task 3.
  5. Alternatively, to assign a different entity value not currently linked to the generic case, enter a description into the Search for entity field provided i.e. to identify the appropriate entity for the generic task 4. All possible matches are returned in the Search Results summary table.
  6. Highlight the desired entity from the filtered list or enter a revised description to compile an alternative results subset.
  7. Click on Save.


Note

1 Additional search criteria may need to be employed (e.g. start and end date ranges, category, description, company, status) to ensure that the correct generic task is returned; an alternative Search by category of Generic Case may be selected to extend the available search fields.

2 This option is only available where the current progression status of the generic task is set to Open or On Hold.

3 The entity values available for selection will be limited to those that match the type configured within the generic task definition.

4 The field will operate as a dynamic search function and match against any element of the entity description, based on the successive characters entered.
