To allocate a role to an estate management inspection type

The procedure to allocate a role to an estate management inspection type is as follows:

  1. Navigate to Quick Menu > Estate Management > Configuration > Inspection Type. The Inspection Type Configuration window is displayed.
  2. Expand an estate classification heading and select an inspection type from the alphabetical list, or enter its name into the Search Inspection Types field. By default the list is filtered to show Current inspection types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Allocation. The Allocation tab is activated.
  4. Click on New Role. The Default Case Allocation window is displayed.
  5. Using the Companies drop-down field, multi-select all companies for which this role allocation is relevant, or choose the All option, as required 1 2.
  6. Using the Role drop-down field, select the desired role for the estate management inspection type e.g. Health and Safety Officer, Neighbourhood Policing Coordinator, Estate Services Manager, etc. 3.
  7. Choose an Effective from date for this assigned role i.e. the date at which it becomes active 4.
  8. Choose an Effective to date to automatically deactivate the role allocation on a specific date in the future; a blank field means the role will remain assigned to the estate management inspection type in perpetuity.
  9. Click on Confirm. The assigned role is displayed in the Allocation Roles summary table 5.
  10. Click on Save.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 The Search Inspection Types field will match against any element of the estate management inspection type description.

2 Only those companies assigned to the estate management inspection type will be available for selection.

3 User accounts comprising the selected role can automatically take ownership of all newly-created cases linked to this estate management inspection type; any record stored without an assigned role will be automatically omitted from user-centric search results.

4 The Effective from date defaults to the current system date and cannot be left blank.

5 To remove the assigned role, change the Effective to date to be in the past.
