The procedure to add a service charge capping rule to an individual asset record is as follows:
- Navigate to Quick Menu > Service Charges > Configuration > Groups. The Service Charge Group window is displayed.
- Expand a functional unit heading from the alphabetical list and select an associated service charge group, or type its name into the Search Groups field. By default the list is filtered to show Current groups. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- Click on Assets. The Assets tab is activated, revealing all assets linked to the service charge group in the summary table.
- Activate the Selected tick box against the first asset where a capping rule exception will be applied

- Click on Rule Exceptions. The Asset Rule Exceptions window is displayed.
- Click on New Rule Exception. All fields are activated ready for data entry

- Using the Rule type drop-down field, select the specific parameter value of Capping Rule.
- Using the Capping rule drop-down field, select the exception rule used to calculate the cap threshold relevant to the specific asset record

- Alternatively, where no charge cap will apply to the specific asset record, activate the No rule applicable tick box provided.
- Using the Rent charge types drop-down field, multi-select all parameter values for which this capping rule exception is relevant, or choose the All option, as required

- Choose an Effective from date for this capping rule exception i.e. the date on which it came into effect

- Choose an Effective to date if the overarching group cap threshold will be reapplied to the individual asset record on a specific date in the future; a blank field means the exception rule will be continually valid.
- Click on Add. The charge cap override is displayed in the Rule Exceptions summary table.
- Repeat steps 7 through 13 to add further capping rule exceptions to the same asset record

- Click on Save. The Rule exceptions tick box denotes the existence of the charge cap override for the asset record in current focus.
- Repeat steps 4 through 15 to add further capping rule exceptions to an alternative asset record.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 The Search Groups field will match against any element of the service charge group description.
2 Capping rule exceptions must be assigned on an individual asset basis and their existence is denoted by the Rule exceptions attribute, as displayed in the Assets summary table.
3 Upon first access, all fields are automatically activated ready for data entry; hence the New Rule Exception button is inactive.
4 This option is activated only once the capping rule type has been configured.
5 The Effective from date defaults to the current system date and cannot be left blank.
6 Only one capping rule exception can be effective for the same charge type subset at any one time; where overlapping Effective from and Effective to dates are detected, the user will be asked to amend the values accordingly.
