To add a document location to an iManage Work EDM integration service

There are three discrete launch points employed extensively throughout Civica Cx Housing from where externally held documents can be retrieved: (1) View Documents - A system action button accessible within all core entity records, including assets, contacts, contact groups, rent agreements and accounts; (2) EDM Documents - A convenient tile option available within case-focused modules, presenting a consolidated view of all documents held in the digital store; (3) Communications - A further tile supporting the holistic management of contact and asset records, allocation applications, repair requests and also the resulting works order fulfilment activities. The availability of these launch points throughout the system ensures that all relevant documents can easily be categorised and retrieved via the appropriate screen or focus area.


The procedure to add a document location to an iManage Work EDM integration service is as follows:

  1. Navigate to Quick Menu > System > Configuration > Integration Management. The Integration Management window is displayed.
  2. Expand the iManage document store subheading from within the nested EDM System classification structure and select an associated integration service from the alphabetical list (or enter its name into the Search Integrations field). By default the list is filtered to show Current integration services. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Document Management. The Document Management tab is activated.
  4. Click on New Document Location. The EDM Document Location window is displayed.
  5. Using the Cx form drop-down field, select an appropriate focus area or functional process from where externally held EDM documents will be available.
  6. Using the Location drop-down field, select a discrete launch point from where externally held EDM documents will be accessible i.e. View Documents Button, EDM Documents Tile or Communications Tile 2.
  7. Using the Database drop-down field, select the name of the specific database applicable to this EDM document launch point 3.
  8. Using the Document class drop-down field, multi-select all top-level folder categories applicable to this EDM document launch point, or choose the All option, as required 4 1.
  9. Using the Document sub class drop-down field, multi-select all cascading folder categories applicable to this EDM document launch point, or choose the All option, as required 5.
  10. Choose an Effective from date for this EDM document location i.e. the date on which it came into effect 6.
  11. Choose an Effective to date if the EDM document location is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the configured launch point will be preserved in perpetuity.
  12. Click on Save. The new discrete launch point is displayed in the EDM Document Location summary table.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 The Search Integrations field will match against any element of the EDM service description.

2 The available access route for all externally held documents is governed by the chosen Cx form.

3 These custom values can be populated by the end user via the general lookup parameter entitled iManage Database Names.

4 These custom values can be populated by the end user via the general lookup parameter entitled iManage Document Classes; the Other reference field located within the Lookup Details form should be employed to link top-level classifications to a database name.

5 These custom values can be populated by the end user via the general lookup parameter entitled iManage Document Sub Classes; the Other reference field located within the Lookup Details form should be employed to link sub level classifications to their overarching class.

6 The Effective from date defaults to the current system date and cannot be left blank.
