To add a contact to an estate record

The procedure to add a contact to an estate record is as follows:

  1. Using the Advanced search spy-glass (), select Estate as the Search for and Search by category, and enter the Estate reference as the search criteria 1.
  2. With the Results tab in current focus, double-click on the row containing the exact record match, or return to the Criteria tab and refine the search filters. The Estate Details window is displayed.
  3. Click on Contacts & Groups. The Contacts & Groups tab is activated.
  4. Click on New Estate Contact. The Estate Contact search window is displayed.
  5. Enter the first few characters of the contact (or contact group) relevant to the estate record into the dynamic search field provided 2. All possible matches are returned in the Search Results summary table.
  6. Highlight the row matching the contact (or contact group) entry to be linked to the estate record. Alternatively, click on New Contact to create an entirely new contact for the estate, not previously held.
  7. Choose an Effective from date for this associated contact (or contact group) i.e. the date on which their connection to the estate came into effect 5.
  8. Choose an Effective to date to automatically remove the connection on a specific date or to capture a change of circumstances; a blank field means the contact (or contact group) will remain linked to the estate in perpetuity.
  9. Click on Save. The linked contact (or contact group) is displayed in the Estate Contacts & Groups summary table.
  10. Repeat steps 4 through 9 to add further contacts (or contact groups) to the estate record.


Note

1 Additional search criteria may need to be employed (e.g. description, estate type, functional unit, company) to ensure that the correct estate record is returned.

2 The field will operate as a dynamic search function and match against any element of the contact or contact group name based on the successive characters entered.

3 The Effective from date defaults to the current system date and cannot be left blank.
