To transfer a rent account payment

The procedure to transfer a rent account payment is as follows:

  1. Using the global search facility, type in the first few characters of either the responsible contact for the agreement or the asset address 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Agreements (contact summary 360 view) or History (for an asset) 2. The Agreements tile (or History tab) is activated, revealing a list of all agreements associated with the contact (or asset) in the Agreements (or Rent) summary table.
  4. Double-click on the specific agreement from which a rent account payment will be transferred. The Agreement Details window is displayed.
  5. Click on Accounts. The Accounts tab is activated.
  6. Double-click on the specific account from which a payment will be transferred. The Account Details window is displayed.
  7. Click on Transactions. The Transactions tab is activated, revealing a list of transactions posted to the account.
  8. Highlight the desired row matching a payment transaction to be transferred to an alternative account.
  9. Click on Transfer Payment. The Transfer Payment window is displayed.
  10. Select the Transfer to account reference using the spy-glass icon () or type in the value directly i.e. the account onto which the payment will be transferred. The Search Account window is displayed.
  11. Enter sufficient account-related details into the search fields provided and click on Search. All possible matches are returned in the Accounts summary table.
  12. Double-click on the row containing the exact record match. The Transfer to account reference field is populated with the matching result.
  13. Enter the Date of the payment transfer using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY) 3.
  14. Use the Notes field to add contextual information relevant to the payment transfer e.g. an internal reference to augment the transaction.
  15. Click on Confirm. The end user is asked to affirm the payment transfer and a new transaction entry, categorised as Payment Transfer, appears in the Account Details summary table 4.


Note

1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached; it will likewise return all possible matches for any corresponding address field.

2 The availability and customisation of all Contact Summary 360 View tiles is controlled separately for each end user via their unique system profile.

3 The date defaults to the current system date and cannot be left blank.

4 The value of the payment transfer transaction is equal and opposite to the original payment to which it relates i.e. positively signed; the contra entry appears on the selected 'Transfer to' account.
