Where a housing applications process is underpinned by a customised enquiry form, the range of posed questions will be used to establish an applicant's eligibility and channel their request appropriately. A series of 'enquiry failure rules' can be defined for each application type, comprising conditional expressions that will assess the exception criteria based on known response values, and trigger an alert notification accordingly.
The procedure to create a new enquiry failure rule for an application type is as follows:
- Navigate to Quick Menu > Allocations > Configuration > Application Type. The Application Type window is displayed.
- Select an application type from the alphabetical list or enter its name into the Search Application Types field. By default the list is filtered to show Current application types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations
1.
- Click on Enquiry Failure Rules
2. The Enquiry Failure Rules tab is activated.
- Click on New Rule. The Enquiry Failure Rules window is displayed.
- Enter a Description for the new enquiry failure rule into the field provided
3.
- Define one or more Rule conditions that will determine an applicant's eligibility based on their specific form responses - click on Statement Builder to compile the logical expressions using enquiry form question fields. This requisite step mirrors functionality covered separately in the topic Understanding the advanced statement builder, noting that the Add Function and Add Field actions are automatically aligned to those elements matching the associated enquiry form instance.
- Use the Advice field to capture contextual information that will be presented to the end user in circumstances where submitted form responses trigger an enquiry failure rule; the expansion arrow (
) can be employed to increase the size of the text entry field.
- Choose an Effective from date for this enquiry failure rule i.e. the date on which it came into effect for the application type
4.
- Choose an Effective to date if the enquiry failure rule is to be reviewed on a specific date, or to capture a change of circumstances; a blank field means the form eligibility check will be continually valid.
- Click on Confirm. The new entry is displayed in the Enquiry Failure Rules summary table.
- Repeat steps 4 through 10 to define further enquiry failure rules for the application type.
- Click on Save.
Note
1 The Search Application Types field will match against any element of the application type description.
2 This option is only available in the instance where the enquiry form linked to the application type is structured around a Generic Form source.
3 System validation checks ensure that the description entered for each new enquiry failure rule is unique for the application type within the same effective period.
4 The Effective from date defaults to the current system date and cannot be left blank.
