The procedure to clone a user account is as follows:
- Navigate to Quick Menu > Security > Access Rights > User Details. The User Details window is displayed.
- Select a user account from the alphabetical list or type their name into the Search Users field. By default the list is filtered to show Current users. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- Click on Clone User. A new user account is prepared ready for data entry, populated with all the attributes (assigned roles and repair limits) of the source user account selected.
- Type in a preferred user name for the new account. The syntax of the user name must exclude spaces and special characters (? / \ # & ! ^ % £ $)

- Using the Domain drop-down field, choose a value that is appropriate for this new user.
- Type in the full name of the new user, their e-mail address and contact telephone number.
- Using the Company drop-down field, multi-select all the companies for which this new role is relevant.
- Using the Job Title drop-down field, choose a value that is appropriate for this new user.
- Choose an Effective from date for this new role i.e. the date at which it becomes active

- Choose an Effective to date if you want to automatically disable the user account on a specific date in the future; a blank field means the user account will never expire.
- Use the Associated contact spy-glass (
) to search for an existing contact on the system to whom the new user account is associated (e.g. a spouse)
3 , or proceed to step 14.
- Enter sufficient contact details into the search fields provided and click on Search. The Select Contact window is displayed.
- Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria.
- Click on Save. The system will automatically generate and display a default password for the new user.
Tip
1 It is good practice to devise and uphold a consistent user naming convention for all user accounts.
Note
1 The Search users field will match against the Full name of the user account and not their User name.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 To uphold a transparent service it is important to declare and record any associations between system users and the contacts with whom they may interact.
